NEED some advice!

quick question, I hope I do not sound to stupid with this. Im seriously confused about sending the bit coin. so if a website NEEDS a donation before access and i have electrum cold wallet or something and I decide to send in a donation how does that link to my account insuring that whatever site I am on knows that it was me linked to the my account so that I get access. hopefully this makes sense.

Only you should know about the transaction such that if you link it on the block explorer to admin or staff, then it's most likely yours. Think about the odds of finding a transaction to a specific wallet that you could claim as yours to admin/staff to fool them - and one that no one else claims or has claimed.
